Information about the branch/unit/team The post holder will provide administrative support on all internal communication functions and enquiries. Main Duties • Updating communication tools including the intranet and television screens • Mailbox and diary management • Administrative support for meetings and working as part of a team to co-ordinate papers, follow up on actions and ensure logistical arrangements are in place. • Provide communications support to community network groups and departments as and when required. • Provide logistic support around events The role would suit individuals who have: • Ability to organise and prioritise workload to meet agreed deadlines; • Strong verbal and written communication skills • Ability to work well as part of a small team • Excellent time management and engagement skills • An aptitude for Microsoft Office and design packages • A proactive attitude • A willingness to develop skills set What might a typical day in this job look like? Main Duties The role of Modern Apprentice posts in this range (A3) is to offer business administrative support and secretarial support under the supervision of and in support of a more senior officer. Duties usually call for the exercise of discretion and initiative whilst carrying out routine tasks and will often involve the use of IT based skills. A3 Modern Apprentices may be required to operate an internal electronic finance and budgeting system, an electronic ordering and payment system, an electronic filing system and an electronic human resources system. Posts at this level tend to report to a post in Band B, but may report to a more senior post in Band A. What will I learn? The Internal Communications Team is a small team which is part of the Corporate Services Branch in Disclosure Scotland. The Internal Comms Team consists of a B2, a B1 and an A3 (including this post). The team has responsibility for the co-ordination of Internal Communications within Disclosure Scotland. The standard working week is a 5 day week of 37 hours, net of lunch breaks. You may have the scope to participate in the Scottish Government's flexible working hours scheme. Although flexible working applies to this post, the need to ensure support is available during business hours means it is essential that the team maintain sufficient presence during the hours of 08:30 to 16:30 (16:00 on Friday). What qualification or qualities are required? A3 posts within the Scottish Government are normally filled by individuals who have 5 standard grades at level 3 or above. Although we do not specify this educational criteria for our Modern Apprenticeships, we wish to attract high quality candidates who have the :- • potential to perform at this level • ability and commitment to achieve all the outcomes of the apprenticeship including passing SVQ 2 in Business Administration • IT based skills
